PTA Committees
Executive Board Job Descriptions
- President:
- Serves as the presiding officer and the official representative of the Fairlands PTA.
- Must review and approve all materials distributed by the Fairlands PTA before it is submitted to the Principal for review.
- Presides at all Fairlands PTA general meetings and Fairlands PTA Exec. Board meetings and prepares the meeting agenda.
- Attends the Pleasanton PTA Council meetings and the monthly PCC (Parent Communication Council) meetings.
- Also Chairman of Communications, Fairlands Flyer, Assemblies, Hospitality, Marquee, PPIE, Directory, Web Master, Yahoo! Group, and Membership.
- Must approve each check or reimbursement request.
- Executive Vice President:
- Serves as the primary aide to the President.
- Chairman for the following Fundraising committees: Book Fair, Box Tops, Gift Wrap, Kids Art Fundraiser, Firestone Photography, Entertainment Books, Family Fun Night, Recycling, Spirit Sales, Escrip, and Rummage Sale.
- VP of Volunteers and Health Services:
- Recruits and manages all PTA Volunteers.
- Responsible for the following Committees: Room Parent Coordinator, Teacher Wish List, Red Ribbon Week, Safety, Families in Crisis, Environmental Awareness (Go Green), Health and Wellness, Hot Chocolate Days and providing a list of volunteers to the Science teacher for the Science Fair.
- VP of Education and Community Services:
- Responsible for the following Committees: Holiday Breakfast, Ice Cream Social, Make a Difference Week, Holiday Store, Book Swap, Multicultural Night, Pictures, Talent Show, Yearbook, Reflections, and Art Night.
- Secretary:
- Keeps an accurate record of the proceedings of all PTA membership and Exec. Board meetings.
- Responsible for presentation of minutes at the Exec. Board and general meetings.
- Must approve each check or reimbursement request.
- Treasurer:
- Maintains the financial records of the organization.
- Prepares and presents the financial reports for PTA meetings.
- Pays all bills for Fairlands PTA, including remittance to Council of per caps and insurance.
- Responsible for filing Federal tax return.
- Financial Secretary:
- Counts the cash at all events and prepares the cash receipt with the committee chair.
- Makes all bank deposits and keeps an accurate record of all deposits.
- Auditor:
- Prepares a midyear audit and year-end audit.
- Parliamentarian:
(Appointed by the President, not an elected position.)
- Manages the election and start of the nominating committee.
- Maintains and updates the bylaws with the help of the bylaw review committee.
- Advises on parliamentary procedure when requested.
*In addition to the above responsibilities, each Exec. Board member needs to attend both the monthly Exec. Board meeting and the general meeting.
